Hiring a keynote speaker in Vancouver: a planner's guide

What Vancouver event planners should know before booking a keynote: timing, venues, local advantages and the questions that matter.

Booking a keynote in Vancouver has one quiet advantage most planners overlook: you can hire someone who already lives here.

This guide is for planners, HR leads and committees running conferences, offsites and kickoffs across Metro Vancouver. It covers the four things that decide whether a booking goes well: budget, timeline, the brief and how to reach the speaker.

Start with Monday

Write one sentence before you look at speakers: what should people do differently the week after? If a speaker cannot connect their talk to that sentence, keep looking. Every other decision, budget included, gets easier once that sentence exists.

Budget

Keynotes in Canada typically start in the low thousands and climb with profile, travel and preparation. Dai's keynotes start at $3,000 CAD, plus travel outside Vancouver. For a Metro Vancouver event there are no flights, no hotels and no ground transport to cover, which keeps the total close to the fee itself.

Half-day workshops and emcee work are quoted on the brief, because the preparation is different every time. The honest rule: a quote means nothing until the brief is clear, so be wary of anyone who prices before they understand the room.

Timeline

Three to six months out is ideal for a Vancouver event. Spring and autumn fill fastest. That window allows a proper prep call, a tailored talk and a pre-event meeting in person, which is one of the real advantages of booking local.

The brief

A good brief is one page, not ten. Include:

- The event: name, date, venue, audience size - The room: who they are, what they carry, what they have sat through before - The Monday sentence: what should change after the talk - The format: keynote, workshop, emcee, or a combination - The constraints: budget range, timing, anything the speaker must know

Send that and you get a useful answer fast. Send "we need a speaker" and you get a slow one.
